Sign PDF: from your file to a checked result

Draw, type, or upload a signature, position it where required, and export the signed document for the next step. The three decisions below show what to provide, what to configure, and what to verify before you share the output.

How it works

How to use Sign PDF in three steps

  1. Choose the PDF that needs a signature.

  2. Create or upload the signature and position it.

  3. Apply the signature and download the document.

Complete the job

Sign PDF from upload to a checked result

Follow the whole path before you start: choose the source, set the job, run the workspace, verify the output, and continue only when the result is right for its next use.

  1. Choose the source

  2. Configure the job

  3. Run the tool

  4. Check the result

  5. Continue

After processing

Review, download, and continue after Sign PDF

A completed result still deserves a quick check. Keep the original, inspect the output type and contents, and decide what should happen next before you share it.

Output to verify

Result type: PDF output

Draw, type, or upload a signature, position it where required, and export the signed document for the next step.

Check page order, orientation, text, permissions, and any visible signatures before sharing the PDF.

  1. Review the output

Check page order, text, orientation, and the number of files in the workspace before sending anything.

  2. Download your copy

Use the workspace Download action after the result is ready. A browser handoff does not prove that a file was saved to disk.

  3. Delete now when offered

If this workspace offers Delete now, use it after downloading. Availability depends on the tool and current result path.

  4. Continue with the next task

Keep the source until you have verified the result, then move to a related PDF task or return to the tools catalog.

Practical example

Sign an approval sheet without printing it

Starting point

A one-page approval form needs a visible signature and date before it is returned to the project owner.

Result to check

Create and place the signature, review its position, and download the signed copy; confirm separately if a certificate signature is required.

Choose the right signing method

Confirm that a visual PDF signature fits the request

This tool places a drawn, typed, or image signature visibly on the PDF. That is different from certificate-based digital signing, identity verification, and a multi-party signature-request workflow.

Add your visual approval

Use this approach when

The recipient asks for a visible signature or initials on a document and does not require a certificate-backed digital signature.

Check before sending

Place the mark inside the intended field, confirm it is legible, and read the surrounding declaration before exporting the PDF.

Import an existing signature image

Use this approach when

You already have an appropriate signature image and need to position it precisely on a page you are authorized to sign.

Check before sending

Inspect the image background, size, page number, and overlap so the signature does not obscure dates, names, or form values.

Use a certificate or request workflow instead

Use this approach when

The process requires signer identity checks, cryptographic certificate validation, an audit trail, or signatures collected from other people.

Check before sending

Confirm the recipient’s technical and legal requirements before signing; a visible mark alone does not provide those controls.

Premium and Sign PDF

When Sign PDF needs more than Free

Signing is only half the job — the agreement usually needs the existing text corrected and the final file locked. Both are Premium tools.

Usually next: Flatten the signed document, then protect it with a password before sending.

Paddle shows the exact amount, taxes, renewal date, and any eligible trial before you confirm. Stop future renewals yourself from your TapScanner billing account.

  • OCR that makes scans searchable and selectable
  • Editing the text that already exists in a PDF
  • Repair for files that refuse to open
  • Compare two revisions and see what changed
  • Up to 100 files and 1 GB in one task, no page cap
  • No daily job cap, subject to fair-use protection

Work with confidence

Clear limits and an output you can review

Know the access level

The first eligible task can be completed before login. Current file, page, and usage limits are shown in the workspace.

Keep document data out of analytics

TapScanner web's application data layer rejects filenames and document contents. Published analytics destinations require separate configuration verification.

Temporary storage during processing

Hosted processing paths may use temporary files. In the pinned core's normal download path, the output file is removed when the stream closes; scheduled cleanup covers stale temporary files.

Hosted processing

Web tools may send files to TapScanner's hosted processing service. We do not currently offer a customer-selectable processing region, so do not assume processing stays on your device or in a particular country.

Delete when offered

Delete-now is available only when a result screen explicitly offers it; it is not yet supported by every web tool.

Check the finished file

Open the downloaded result and verify important pages, values, formatting, and permissions before relying on it.

Questions

Sign PDF FAQ

Can I use Sign PDF for free?

Yes. Your first eligible task can be completed before login. TapScanner shows the current file, page, and daily limits before processing.

Is a visual signature the same as a digital certificate signature?

No. Visual e-signatures and cryptographic certificate signatures serve different legal and technical purposes. Confirm which your workflow requires.

Do I need to install software for Sign PDF?

No. TapScanner runs in a modern web browser, so you can upload, process, and download the result without installing desktop software.

Can TapScanner request signatures from other people?

Not with this tool. Sign PDF places a visual signature that you create or import; it does not send signature requests, verify another signer’s identity, or provide a multiparticipant audit trail.

What should I check before sending a signed PDF?

Confirm the correct page, signature size and position, nearby names and dates, and that no document content is covered. Also confirm whether the recipient requires a visual signature or a certificate-backed digital signature.
